How We Care for What You Share
Filoria exists because people trust us with their stories. That trust is the whole of the work, so we treat your information with the same care we bring to a reflection. This policy explains, in plain language, what we collect, why, how it is kept, and the choices you have.
The short version. We collect only what we need to prepare your reflections and run your account. We keep your stories in a private vault. We do not sell your personal information, and we do not use your stories to advertise to you. You can ask to see or delete your information at any time. Filoria's founder uses this service on her own life, and holds your material to the same standard she holds her own: nothing here is entrusted to a practice she would not trust with her own story.
01 Who We Are
Filoria is operated by Filoria LLC, based in Pine Island, New York. When this policy says "we," "us," or "Filoria," it means Filoria LLC. For any question about your privacy, you can reach us at andrea@filoria.org.
02 What We Collect
Information you give us
- Your name and email address, and the details you enter when you begin a reflection or create an account.
- Your date of birth and place of birth, collected for cultural context only, so a reflection can be attentive to the world you come from.
- The stories, responses, dreams, reflections, and any documents, photographs, or recordings you choose to share with us. This is often personal and meaningful material, and we treat it accordingly.
- If you book a session, scheduling details and, with your consent, the recording and transcript of that session.
- Any referral code you use when you arrive.
Information collected automatically
- Basic technical information such as your browser type, device, and general location, gathered by our hosting and analytics so the site works and stays secure.
- Small amounts of data saved in your own browser (see Cookies and Local Saving, below).
Payment information
When you purchase, your card details are entered directly with our payment processor, Stripe. Filoria never sees or stores your full card number. We receive only a confirmation of payment and the limited billing details Stripe shares with us.
03 Why We Use It
We use your information only for purposes you would expect:
- To prepare, review, and deliver your reflections and reports.
- To create and manage your account, membership, and vault.
- To process payments and send you confirmations and delivery notices.
- To schedule and hold sessions you have booked.
- To respond to your questions and provide support.
- To keep the site secure, prevent misuse, and meet our legal obligations.
- To honor referral arrangements, where a code was used.
We want to be plain about this, because we feel strongly about it. We do not sell your personal information, ever, to anyone. We do not use your stories to target advertising to you. And we do not spam. You will hear from us only when there is a real reason: a confirmation, a delivery, a reflection, an answer to something you asked, or an occasional note that genuinely matters to your membership. Nothing more. The inbox is a quiet place at Filoria, and we intend to keep it that way.
04 How Your Reflections Are Prepared
Filoria is openly AI-assisted. To prepare a reflection, the material you share is processed through a structured system that combines multiple interpretive perspectives, and the result is reviewed by a human before it reaches you. This processing may involve trusted third-party AI services acting on our instructions to help generate your reflection. These services process your material only to perform that task and are not permitted to use it to train their own systems or for their own purposes.
05 The Companies That Help Us Operate
Running Filoria requires a small number of trusted service providers, who process information only on our behalf and under their own privacy and security commitments. They include:
- Stripe, for secure payment processing.
- Google Workspace and Google Drive, for email and for the secure storage of your vault and reflections.
- Firebase, for member accounts and membership data.
- Calendly, for scheduling sessions.
- Google Meet, for holding and recording sessions you have booked.
- Netlify, for hosting this website.
- Trusted AI providers, for the reflection preparation described above.
We share only what each provider needs to do its part. We do not share your personal stories with anyone for their own use.
06 Your Vault and How Long We Keep Things
The material you share lives in your private vault. How long we keep it depends on your relationship with Filoria:
- If you are not a member, your stories and any session recordings are held for one year, so that your reflection can be delivered and revisited.
- If you are a member, your material is held for the life of your membership, which is part of what membership offers.
- Legacy features such as The Long Archive preserve material for the longer terms described when you purchase them.
We keep account and payment records for as long as needed to run the business and to meet tax and legal requirements. When we no longer need something, we delete it or remove what identifies you.
07 Cookies and Local Saving
Filoria uses only what is necessary. Our reflection pages save your answers in your own browser as you type, so your work is not lost if you step away. This save-in-browser feature stays on your device and is not sent to us until you submit. We and our providers may also use essential cookies and similar technology to keep you signed in, keep the site secure, and understand basic, non-identifying usage. We do not use advertising trackers.
08 How We Protect Your Information
We use reputable, security-minded providers, restrict access to your material to those who need it to do the work, and protect our accounts with measures such as strong authentication. No system can promise perfect security, but we take the sensitivity of what you share seriously and design our practices around protecting it.
09 Your Choices and Rights
You are always in charge of your own material. At any time, you may:
- Ask to see the personal information we hold about you.
- Ask us to correct information that is wrong.
- Ask us to delete your material, subject to reflections already delivered and to records we are required by law to keep.
- Cancel a membership, or ask us to stop sending non-essential messages.
Depending on where you live, you may have additional rights under laws such as those in your state or region. To exercise any of these, write to us at andrea@filoria.org, and we will respond within a reasonable time.
10 Children
Filoria is intended for adults. We do not knowingly collect information from anyone under 18. If you believe a minor has shared information with us, please write to us and we will remove it.
11 Changes to This Policy
As Filoria grows, this policy may be refined. When we make meaningful changes, we will post the updated policy here with a new effective date, and where appropriate we will let members know. Continuing to use Filoria after a change means you accept the updated policy.
